1. Introduction

Ascend Speech & Debate ("we," "us," "our club") is a Stoa-affiliated youth speech and debate club. This Privacy Policy explains what information we collect through our website, how we use it, and the choices families have. By using our site, registering for club activities, or creating a Members Area account, you agree to the practices described here.

2. Information We Collect

  • Registration & contact information: parent and student names, ages/grades, email addresses, phone numbers, home address (for mailings or emergency contact), and family/household information used to link parent and student accounts.

  • Payment information: dues and fee payments are processed through our third-party payment provider (via Wix Payments/Stores). We do not store full credit card numbers on our own servers.

  • Student work and communications: notes, judge feedback, and messages exchanged through the Members Area between students, parents, and coaches.

  • Photos and video: images and video taken at meetings, tournaments, and events, which may be used on our public website, social media, or promotional materials.

  • Website usage data: standard technical data collected automatically by our hosting platform (Wix), such as IP address, browser type, and cookies, for site functionality and analytics.

3. Children's Privacy (COPPA)

Because our club serves students under 18, including children under 13, we take extra care with children's information:

  • Accounts and registration for students under 13 are created and managed by a parent or legal guardian, not directly by the child.

  • We do not knowingly collect personal information directly from a child under 13 without verifiable parental consent.

  • Parents may review, correct, or request deletion of their child's information at any time by contacting us (see Section 8).

  • We limit the collection of children's information to what is reasonably necessary for club participation (registration, communication, coaching, and event coordination).

4. How We Use Information

We use collected information to:

  • Register and manage club membership and bootcamp enrollment

  • Process dues and event payments

  • Facilitate coaching, feedback, and communication between coaches, students, and parents

  • Send notifications about deadlines, classes, tournaments, and events

  • Share photos/highlights from club activities on our public site or social media

  • Maintain accurate records for Stoa affiliation and tournament participation

5. Photo & Media Release

By participating in club activities, families consent to occasional photography and video recording of students during meetings, tournaments, and events, which may be used on our public website, social media, or promotional materials, unless a parent notifies us in writing that they opt out.

6. Sharing of Information

We do not sell or rent personal information. We may share information with:

  • Service providers who help operate the site (e.g., Wix for hosting/payments)

  • Stoa, for tournament registration and affiliation purposes where applicable

  • Legal authorities, if required by law

7. Data Security & Retention

We take reasonable steps to protect personal information stored through our website and Members Area. We retain member records for as long as needed to administer the club and comply with recordkeeping obligations, and delete or anonymize records upon request where appropriate.

8. Parental Access & Rights

Parents/guardians may contact us at any time to review, update, or request deletion of their family's information, or to opt out of photo/media use. Contact: [email/phone].

9. Cookies

Our site, hosted on Wix, may use cookies for basic functionality and analytics. You can control cookie settings through your browser.

1. Agreement to Terms

By accessing this website, registering for membership, enrolling in the bootcamp, or creating a Members Area account, you agree to these Terms of Service. If you do not agree, please do not use the site or register for club activities. Because most participants are minors, a parent or legal guardian must accept these terms on the student's behalf.

2. Membership & Eligibility

  • Ascend Speech & Debate is a youth speech and debate club affiliated with Stoa, primarily serving homeschool families.

  • Membership is family-based; a parent or guardian registers the family and is responsible for the accuracy of information provided and for their student(s)' conduct.

  • We reserve the right to accept, decline, or remove membership at our discretion, including for violations of our bylaws or code of conduct.

3. Accounts & Members Area

  • Parents and students may be issued individual logins to the Members Area, linked under a shared family account.

  • You are responsible for keeping login credentials confidential and for all activity under your account.

  • The Members Area is for club use only — including notes, coach communication, calendars, and bylaws — and should not be used to share content unrelated to club activities, or in a way that violates our code of conduct.

  • We reserve the right to suspend or terminate account access for misuse.

4. Dues, Fees & Payments

  • Club membership involves a recurring family membership fee and may include additional one-time fees for tournaments, classes, or bootcamp tracks, as posted on the site.

  • Payments are processed through our third-party payment provider (via Wix Payments/Stores). By submitting payment, you authorize the charge for the amount shown at checkout.

  • Refund policy: Full refund up to 5 days before an event, credit toward future activities, no refunds after start date.

  • Prices are subject to change; we will make reasonable efforts to notify members in advance of changes affecting active registrations.

5. Bootcamp Registration

  • Bootcamp tracks (Team Policy, Lincoln Douglas, Platform Speech, Interpretation Speech, Debate Intensive) have listed prerequisites; registrants are expected to meet stated experience requirements where applicable.

  • We reserve the right to move, reschedule, or cancel a track due to low enrollment or unforeseen circumstances, with notice to registered families.

6. Code of Conduct

Students, parents, and coaches are expected to conduct themselves respectfully in person and through the Members Area, consistent with our bylaws and Stoa's standards of conduct. We reserve the right to remove any member whose conduct is disruptive, unsafe, or inconsistent with club values.

7. Assumption of Risk & Liability

Participation in club activities, tournaments, and events involves inherent risks of travel, physical activity, and public participation. By registering, parents/guardians acknowledge these risks on behalf of their student and agree that Ascend Speech & Debate, its coaches, and volunteers are not liable for injuries or losses except where caused by our gross negligence or willful misconduct, to the extent permitted by law. 

8. Photos & Media

By participating in club activities, you agree to the terms of our Privacy Policy regarding photography and use of student images on our website and promotional materials.

9. Intellectual Property

Website content, branding, logos, and materials belong to Ascend Speech & Debate unless otherwise noted. Members may not reproduce or distribute club materials for commercial purposes without permission.

10. Third-Party Services

Our website is hosted on Wix and uses third-party tools for payments, chat, and communication. Use of those features is also subject to the relevant third-party provider's terms.

11. Changes to These Terms

We may update these Terms periodically. Continued use of the site or membership after changes take effect constitutes acceptance of the updated Terms.

12. Governing Law

These Terms are governed by the laws of the State of [your state], without regard to conflict-of-law principles.
